Availability Checks Overview

What are Availability Checks?


The Availability Check feature enables Company Admins to inquire about workers' availability for a specific day or time.


Admins can send Availability Checks to selected workers, serving as a prompt for them to update their Availability Calendar. 

This feature acts as a "check-in" or reminder, allowing workers to confirm whether they are available or unavailable on the specified date.

 


How to create an Availability Check

1. From the Events page, click on + Availability button in the top right corner



2. The Availability Check pop out screen will open up, where you will be prompted to:

  • Select if you would like to create an Availability Check By Timeframe or By Event.
    By Timeframe: Lets you select a relevant date/date range and times without specifying a specific event.
    By Event: Lets you select a specific Event you would like to check availability for.

  • Choose which workers you would like to send the Check to, either by searching workers by name in the top right corner, or by filtering the list uses the filters in the lower left side panel. You can filter for conflicting assignments, number of hours worked, Availability, Positions, Departments or Tags.



3. Once you have selected the filters a list of workers will be created for you based on the filters and you can either select all workers by clicking on the check box at the very top of the list, or individually select workers you would like to send the Availability Check to.


Then click on “Check Availability” in the top right corner.




4. This will open up the Availability Check confirmation page. Here you will see:

  • A description of what an Availability Check is

  • A section to add an Availability Check name if you would like to, this is optional

  • The option to show the availability check name to all recipients (if you do not select this, this field will only show to admins on the Events page)

  • The option to notify workers about the availability check. If this is turned off workers will not receive a notification that the Availability Check was sent and will only see the availability check on their calendar in the Worker App.

  • A message box to add any additional message you would like to send to the workers with this Availability Check



5. Once you have filled these in and double checked they are correct, you can click “Check Availability”


After an availability check is sent, workers can be in Available, Response pending, Partially Available or Unavailable status.

 

  • Available: indicates the worker received your message and stated they are available for the period specified in your Availability Check.
  • Response Pending: indicates the worker was asked but has not yet responded to your Availability Check.
  • Partially Available: indicates the worker is only available for part of the time requested.
  • Unavailable: indicates the worker received your message and stated they are unavailable for the period specified in your Availability Check.

 

When you create and send an availability check to workers, you'll notice a blue tile appears on your calendar with three different square shapes at the bottom. The square shapes correspond to the different statuses listed above, and you can hover over them to see the labels. 

 



6. Select the blue tile to expand the response list to see who has responded to the Availability Checks. 


Please note that Availability Checks will show all workers who are set to available - even if you did not send the Availability Check to them. 


Availability Checks pull information from the Availability calendars workers use to say if they are available or not, and are purely informational to assist you in seeing who may be able to work on a certain day, time or event. You can re-use the same filters to see the best fits for your shifts.

 


How to send a Bulk Availability Check

1.Using the By Event option in Edit Availability Check will allow you to select multiple events to check availability for in one go. 

2. Your workers will receive multiple availability checks where they can confirm or decline their availability at one time.


How to delete an Availability Check

1. From the Events page, click on the Availability Check you would like to delete to open the Edit page
2. Navigate to the upper right hand corner and click on the trashcan icon to delete the Availability Check.




Using Availability Check information in the Multi-Event View

On the Multi-Event View page, you can take advantage of the Availability Check feature by choosing Select Availability Check at the top and selecting the date of the Availability Check you would like to see the details for from the drop down







In that section, enter the date and times you would like to see if employees are available and/or confirmed or requested in any shifts.

Then scroll down the employee list to see all relevant information for workers that day, in this list you can see:

  • if they are available, this will appear in Blue

  • if they are confirmed in any shifts, this will appear in Green

  • if they have been requested for shifts but not yet confirmed/declined, this will appear in Yellow

  • if they have declined any shift requests or are Unavailable, this will appear in Red

  • if they have any Availability requests pending, this will appear as a White square with a blue outline
